Bookings

All prices include GST in NZD.

All bookings must be made in advance. 

Glenside Station is private venue and a close to exact number of attendees is needed when finalising booking. 

Some activities require minimum numbers or a minimum fee. If minimum groups sizes are not met Glenside Station reserves the right to postpone or reschedule. 

Booking and Deposits

To confirm and secure a venue date, a completed booking form and 20% deposit are required for bookings over $750. A grace period of 5 days will be given from the time of the reservation until both the completed booking form and deposit are received. We will confirm (by email) once both have been received. Reservations are not binding on either party. Glenside Station reserves the right to accept bookings from other clients after this grace period, should the deposit and documentation not be received.

Cancellations or postponements

Glenside Station reserves the right to cancel or postpone at anytime. If Glenside Station cancels or postpones the event a full refund may be be given.

If the client cancels within 2 weeks of booking date the deposit will not be refunded but may be used as credit within 6 months of the original booking.

If there's a bad weather forecast (cold wind and rain), we recommend postponing or having a Plan B if it is group over 80pax. Your deposit can be used as a credit for a future visit. This is usually only restricted to some of the hosted Activities and Hole in one golf. 

 

Invoice

The full invoice will be sent on the week of your event, once final numbers and details are confirmed. Late payments will incur a 5% per month charge.

Damage to Property

​The client agrees to take responsibility for any excessive breakages or damage caused by guests, excessive cleaning costs, and agrees to cover costs for repair or replacement of any broken property. Glenside Station reserves the right to on-charge any costs incurred, caused by negligence or inappropriate behaviour.

Glenside Station does not accept any liability for damage to, loss or theft of, any property left prior to, during or after your event.

Power  (Pavilion hire)

​Glenside Station will supply power sufficient for lighting, and some AV requirements.

There is some outdoor single phase powere and x1 3-Phase outlet. Caterers may be obliged to provide their own power source depending on their kit and power needs.

Rubbish and Cleaning

​The client agrees to take responsibility for any rubbish that is brought onto the venue.

If playing golf all rubbish brought in must go out with the client.

If using the Pavilion all rubbish must be discarded into bins. 

A general tidy and spill clean up is required by the client if using the Pavilion.

Age restrictions

Under 18 require parent supervision. No children are to be left unattended.

Parking
For Large Groups it is recommended to hire a Bus or shuttle buses.

Vehicles left onsite overnight are at your own risk and must be picked up before noon the following day.

Other site details

Glenside Station is a bring your own food venue.​

Unless booked in advance the Pavilion is out of bounds.

Glenside Station is a Non Smoking non Vaping venue.

No fires or flames to be lit on site.

No large items or tents or structures to be bought onsite unless discussed in advance with Glenside Station management.

Behaviour

Glenside Station has the right to close and event or eject any attendees should behaviour be deemed dangerous, violent, or overly disruptive to the nearby residents.

 

Health and Safety
 

At Glenside Station the health and safety of our guests is of great importance. We have implemented all reasonable measures to ensure that our course, gear, tracks, vehicles, activity areas, and accommodation are as safe as reasonably possible.

Please note that all visitors enter the property and take part in activities at their own risk. Glenside Station, its employees, land owners, lease holders and residents, accept no responsibility for any injuries, damages, losses, sickness, or expenses incurred during your visit. 

Upon arrival, you will be required to attend a Health and Safety briefing. It is the responsibility of each guest to participate in this briefing and follow the safety guidelines outlined in both the briefing and our Health and Safety Policy. Large groups require at  least 2 members to be responsible for the entire group making sure that all attendees are aware of the health and Safety requirements. 

 

Under 18 years of age children require parent supervision. No children are to be left unattended.

 

Guests consuming alcohol prior to arrival may be turned away from our property, or be unable to participate in the activities. No drugs or alcohol are to be consumed prior to activities.

Glenside Station is a working farm, so please leave all gates as you find them, don’t touch any fences in case they are electric, please give stock a wide berth, stay away from any houses or sheds. Stay on the marked tracks or golf course area.

Stay away from edges of creeks and bodies of water.

Glenside Station operators reserve the right to evict groups or individuals behaving dangerously, recklessly or aggressively. We reserve the right to cancel a booking at any time at our own discretion should we deem it necessary to do so.

Risks include but not limited to injury or death from:

  • Golf clubs, balls, improper use or equipment failure.

  • Slips, trips, or falls on uneven surfaces or outdoor terrain.

  • Bodies of water and streams.

  • Mountain biking involves risks such as falls, collisions, equipment failure, and natural hazards.

  • Arrows, bows, improper use or equipment failure.  

  • Contact with other participants or spectators during activity and movement.

  • Weather-related hazards (e.g., heat, rain, wind, hail).

  • "Act of God" (natural disaster).

  • Reckless / disorderly behaviour.
